Position Overview

Salary: $24.00 - $28.00 an hour USD (subject to relevant experience)

Position(s): Assistant Stage Manager
Salary: $24.00 - $28.00 an hour USD (subject to relevant experience)
 
Position Requirements:
  • 1-3 years of production or operations experience within the entertainment industry in a high volume, fast –paced environment.
  • Bachelor’s degree preferred. 
  • Excellent computer skills and demonstrated working knowledge of computers and software including proficiency with MS Word, Excel and PowerPoint.
  • Strong project, organizational, research and time management skills, including the ability to work independently and prioritize workload.
  • Desire to learn, grow, and be developed in studio operations.
  • Ability to quickly learn, adapt and understand production requests, as well as a variety of operational duties.
  • Exemplary communication skills and customer service skills to interact with internal and external clients, vendors and other contacts.
  • Able to meet deadlines and communicate with multiple people at one time.
  • Ability to discreetly and tactfully recognize and handle sensitive and confidential information.
  • Polished professional demeanor around clients, executives and on-lot talent.
  • Ability to evaluate and solve client issues while keeping the objectives of the Company in mind.
  • Required to work early mornings (opening shift) or late evenings (closing shift) and on weekends and holidays as needed.

Key Responsibilities:
  • Coordinate stage operation procedures relating to set load in, load out, and shooting processes to facilitate a smooth production run with clients.
  • Act as key point of contact and liaison for stage clients while providing excellent customer service.
  • Enforce local fire codes, and safety regulations as they relate to a studio environment.
  • Assist with studio equipment rentals, rates, billing and repairs.
  • Help maintain stage reports.
  • Assist with resolution of facility related problems.
  • Miscellaneous duties as assigned.
Essential Physical Functions / Environment 
  • Ability to lift 50lbs.
  • Requires a wide range of constant physical and office activities, including but not limited to: walking, standing, sitting, talking, speaking, bending, lifting, finger manipulation, etc.
  • Frequent repetitive movements.
  • Requires work such as tours throughout property, including construction sites, usually performed by walking and by climbing stairs.
  • Requires movement between departments to facilitate work.
  • Requires close, distance, peripheral vision and depth perception.
  • Must be able to function in fast-paced, high-volume environments

Position Requirements:
  • Bachelor’s Degree required.
  • Minimum two years in commercial real estate or property management.
  • Prior experience in production or studio operations a plus.  
  • Excellent computer skills and demonstrated working knowledge of computers and software including MS Windows, Word, Excel and PowerPoint.  
  • Knowledge of basic accounting.  
  • Polished professional demeanor with strong communication, presentation and interpersonal skills to interact with tenants, vendors and other contacts.
  • Ability to work under pressure and manage competing priorities while staying focused and meeting deadlines without sacrificing accuracy.
  • Ability to multi-task and work independently with keen eye for detail

Key Responsibilities:
  • Assist with preparation of annual budgets and re-forecasts, CAM and Tax escalations and reconciliations.
  • Assist with preparation of monthly variance report, aged delinquency report, rent rolls, and other financial reports.
  • Prepare and distribute tenant rent statements and administer collection of account receivables.
  • Review account payable invoices and prepare vouchers for payment as applicable.
  • Prepare accurate tenant bill-backs and internal re-bills in a timely manner providing supporting materials.
  • Prepare invoices for miscellaneous contractor charges, tenant notices and mailings.
  • Provide prompt response to tenant requests for engineering, security, production services, maintenance, janitorial services, etc., and manage the work order for appropriate personnel.
  • Assist in development and updating of tenant manuals, emergency procedures and emergency contact lists, and other necessary formal tenant communications.
  • Assist with tenant move-in and move-out procedures, communication and processes.
  • Manage maintenance and janitorial vendors to maintain high level of presentation throughout the studio, i.e. lobby, sound stages, elevators, corridor, restroom, vacant spaces, etc.
  • Assist with routing sales and general inquiries from potential tenants or other interested parties.
  • Occasionally conduct property tours for prospective tenants or clients.
  • Provide general office administration support, including organizing files, handling correspondence, and managing office supplies.
  • Assist with scheduling meetings, coordinating events, and supporting property management team activities.
  • Conduct regular property inspections noting maintenance and cleaning issues and prepare punch lists and assists with walk through of project with tenants and contractors.
  • Collect all necessary documents for tenant files (i.e. leases, amendments, build-out and sign plans, estoppel letters, etc.).
  • Prepare incident reports.
  • Miscellaneous duties as assigned.
